Primary Purpose:
Under moderate supervision: coordinate the collection and reporting of district Public Education Information Management System (PEIMS) data and district payroll.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Ability to maintain accurate and auditable records.
Ability to use personal computer and software to develop spreadsheets, perform data analysis, and do word processing.
Proficient in keyboarding, 10-key numerical data entry, and file maintenance skills.
Ability to perform basic math
Ability to meet established deadlines.
Strong organizational, communication, and interpersonal skills.
Ability to understand detailed written or oral instructions.
Experience:
Experience preferred in school district administrative support position requiring collecting and entering data; experience using coding systems, & payroll.
Major Responsibilities and Duties:
PEIMS
- Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to Texas Education Agency PEIMS Data Standards.
- Work cooperatively with campus, business office, and personnel office staff to collect, organize, and format data required to submit district PEIMS data according to prescribed state deadlines.
- Run edits, reports, and verification checks on data to ensure accuracy of information. Distribute edits and reports to appropriate staff for analysis, verification, and correction.
- Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format to education service center (ESC) for processing using computer terminal or personal computer.
- Verify data submitted to TEA and submit corrections in a timely manner.
- Provide training and support to campuses and to business and personnel office staff responsible for processing PEIMS data.
- Receive PEIMS-related information from ESC and TEA, attend all regional PEIMS workshops, and disseminate information to other staff in a timely manner, including updates to PEIMS Data Standards.
Payroll
- Direct and control payroll preparation and production, including regular, special, and supplemental payrolls. Ensure adherence to standards and procedures, and take steps to correct problems, delays, and inaccuracies.
- Develop and implement payroll procedures to ensure timely processing of payroll and the applicable payment of all benefits and payroll deductions.
- Ensure accuracy of payroll data input and calculations, balancing each payroll prior to check disbursement.
- Control payment of all liabilities generated through payroll, including taxes, Teacher Retirement System (TRS) deposits, insurance.
- Prepare accurate district payroll for distribution to employees following established procedures.
- Receive and audit time sheets for all district employees. Calculate employee wages, salaries, hours worked, overtime pay, and determine withholdings, deductions, and net pay.
- Balance payroll earnings and deductions; initiate related transfers of funds and deposits.
- Maintain district payroll registers, employee payroll information, and other original documentation in an orderly and accurate manner in accordance with state, federal, and district requirements.
- Interface with administrators, principals, directors, and staff regarding payroll-related issues. Assist with the equitable resolution of complaints, concerns, and problems in the area of payroll.
- Work cooperatively with human resources and business services to process hiring, leave, terminations, and other employment-related issues.
Other
- Maintain HR information database to ensure that employee information is accurate, current, and reliable.
- Process new hire paperwork.
- Comply with policies established by federal and state law, State Board of Education rule, and local board policy.
- Compile, maintain, and file all reports, records, and other documents as required.
- Follow district safety protocols and emergency procedures.
